Project Online Administrators sometimes have a question about the Out-of-the-box recovery options in Project Online. Microsoft provides only one recovery option – to restore the entire Site Collection to a previous point in time. This is not an ideal option, but in case something significant has been deleted by mistake, that is the way to go.

Though the Projects and Projects related recovery options are quite minimal, recovery of items from the Project Sites is a slightly different story. As you would know, Projects have a Project Site attached to them – this is basically a SharePoint SubSite and the ‘Recycle Bin’ functionality would come in handy when it comes to recovery of deleted items.

  • For Example, let’s say a ‘Risk’ item or a document from the ‘Shared Documents’ library has been deleted. Depending on the recovery set by the Office 365 Tenant Admin, you will be able to recover the item from the Recycle Bin for the Project Site.
    • Click on the Gear Icon on the top righthand corner >> Site Settings >> You will see ‘Recycle bin’ on the menu.
      i. Click on the Gear Icon on the top righthand corner >> Site Settings >> You will see ‘Recycle bin’ on the menu.
    • You can select the required documents from the list >> Click the ‘Restore’ and the item will be back to where it originally was. As good as new.
  • Let’s say you had not realised that an item was missing and find out it was deleted a while ago, you can try to restore it from the ‘Site Collection Recycle Bin’. You will need the Site Collection Administrator do this though.
    • Go to the Home page of your PWA site >> Click on the Gear Icon on the top righthand corner >> And under the ‘Site Collection Administration’ Section
    • The restoration process is pretty much the same as before, Select the required Documents >> Restore

As much as we hope the items from the Project Site are not deleted, there is always a chance they can be recovered!
