Microsoft has confirmed that SharePoint Designer 2013 workflows in SharePoint Online will be fully retired by April 2026. This change will have a direct impact on organisations using Microsoft Project Online, many of whom rely on SharePoint Designer to manage project governance and lifecycle workflows.

SharePoint Designer has long enabled teams to automate the movement of projects through lifecycle stages. For example, when a project moves from Initiation to Planning, a workflow can automatically unlock new Project Detail Pages (PDPs), apply governance rules, or update permissions. These workflows are fundamental to enforcing project standards and controlling progression across the portfolio.

From April 2026, these workflows will stop working entirely. This will affect the ability to create new projects or manage existing projects that rely on SharePoint Designer workflows. With no direct replacement offered by Microsoft, organisations must act now to avoid disruption.

There are unfortunately limited options. Either (a) do nothing and your project workflows will stop working on 2-April-26, (b) implement our Power Automate Workflow solution and the problem is solved, or (c) move away from Microsoft Project Online and deploy the latest Microsoft scheduling tool, Microsoft Planner, with the Wellingtone Accelerator+ as the modern Copilot and AI ready replacement for Microsoft Project Online.

Fixed price workflow solution for new projects

Once our Workflow solution is deployed, all new projects created in Project Online will use Microsoft Power Automate for workflow, replacing your old SharePoint Designer workflow capabilities. This includes moving projects through their lifecycle, use of mandatory project custom fields, and enabling approvals.

Once we have deployed the new Power Automate workflow solution we can also migrate your existing projects to this new solution. We run a free Requirements Workshop to assess your workflow needs and existing project data. We then submit a tailored costed Proposal to migrate all your existing projects. We very much work in partnership with you, providing clear details on what is required and timescales.
