Many organisations have data retention policies that requires legacy project information to be accessible. What happens if you have migrated away from Microsoft Project Online with just current live projects, but still need to access old, perhaps completed, projects?

Important Microsoft Lifecycle Policies

Mainstream support ended for Microsoft Project Server 2010, Project Server 2013, and Project Server 2016

If you are using the on-premise Project Server 2010, Project Server 2013, or Project Server 2016 within your organisation you should be aware that they are outside of Microsoft mainstream support. This means that Microsoft will not provide incident support, security update support or allow you to request non-security updates.

Microsoft Project Server 2016 support notice. Mainstream support ended 13-July-21. Extended support ends 14-Jul-26.

SharePoint 2013 Workflow Retirement

The majority of Microsoft Project Online configurations make use of workflow. This is typically used to move projects through lifecycle stages, from initial planning to close. This may include formal approval steps. Often this is also linked to PDPs, with specific PDPs being displayed depending on the lifecycle phase.

This functionality is possible through the use of Microsoft SharePoint Designer 2013, and its workflow capabilities. Microsoft SharePoint 2013 workflow is being retired in April 2026. It has been unavailable for new tenants since April 2024, but from April 2026 this functionality will no longer operate.

Don’t panic! We have developed a replacement for this workflow functionality using Microsoft Power Automate. This replaces the existing functionality using the latest Microsoft tooling, enabling you to continue to enjoy the full benefits of Microsoft Project Online beyond April 2026.

In 2023 Microsoft launched Viva Goals with a mission of empowering organisations to achieve more through focused goal management using the OKR methodology (objectives and key results). Microsoft has has decided to deprecate the product with retirement of Viva Goals on December 31, 2025.
